Circulation Policies
Circulation policies in addition to those governed by patron privileges or material types include:
Confidentiality
- Confidentiality of check-out information is library policy.
- Information on a current checkout can be given ONLY with the permission of the patron who has the item.
Renewals
- If the combination of patron borrowing privileges and type of material allow, items may be Renewed Online, one time. For any additional renewals, please contact the Circulation Department.
Recalls
- Recalls are made when another patron needs library material that is checked out.
- All patrons, faculty included, are expected to respond to recalls of materials.
- If the recall is for material to be placed on reserve, the material is expected to be returned at once. Otherwise a recall goes into effect when a patron has had an item for two weeks.
- Exceptions to recall or arrangements for sharing material are at the discretion of the circulation staff.
- NOTE: Materials are not usually recalled for non-college patrons.
Holds
- Holds may be placed on books checked out or currently on order. These may be placed by the circulation staff or by the patron using the "Request" function in the Library online catalog.
- Patrons will be notified when the books they have requested are available. They can pick up these materials at the Circulation Desk.
- Holds cannot be placed on items which have a status of "checked in." If a desired title is not checked out but cannot be located in the stacks, patrons are encouraged to come to the Circulation desk and fill out at "Search and Hold" slip and let the staff help look for it.
DVD Policy
- Students may have up to 3 DVDs checked out at a time.
- Faculty and staff may have up to 5 DVDs checked out at a time.
- The loan period is 3 days.
- DVDs cannot be renewed.
- No DVDs will be checked out to anyone who has overdue DVDs on their account.
Overdues
- No fines are charged for overdue books.
Damage Fees
- Damage fees are charged for books requiring repair or treatment when returned. The charge is usually $10 per volume. Wake Forest Students may pay these fees using Deacon Dollars.
Replacement Charges
- Replacement costs are charged for lost books. For books still available this charge is the current price of the book, plus a $20.00 processing fee. If the book is out of print the charge is $60.00, plus a $20.00 fee. Wake Forest students may pay these fees using Deacon Dollars.
- If lost books are found and returned within one(1) year of payment, the basic charge will be refunded, but not the processing fee.
Loss of Library Privileges
- Library privileges may be restricted for abuse of these privileges, for not returning recalled or overdue Interlibrary Loans, having large numbers of overdue books, or for failure to pay for lost books.
- The failure to respond to a recall of a checked-out book will result in a suspension of all check-out privileges.
- Attempted theft or damage of library materials by WFU students is an honor council violation and can result in suspension from the University. Depending upon degree of severity and value of items involved, these and other violations by the general public can be considered Class H felonies in the eyes of the state of North Carolina and can result in arrest and court action.
Library Borrower Cards
The library's main stack collection is open to the general public for research and photocopying. Access to government documents, reference, periodicals, the online catalog and special collections is also included.
Restrictions apply to borrowing, and fees may be charged. In order to borrow materials a patron must have a machine-readable, nontransferable Wake Forest University library card. The privileges of individual patrons depend upon the patrons' status with the library. To see these privileges, choose a patron category from the following list:
Wake Forest University Faculty
- The WFU picture ID functions as a library card.
- Borrowing is unlimited as to number of books checked out.
- Loan Period is one year.
Wake Forest University Adjunct Faculty
- The WFU picture ID functions as a library card.
- Borrowing is unlimited as to number of books checked out.
- Loan Period is for 90 days.
Wake Forest University Graduate Students
- The WFU picture ID functions as a library card.
- Borrowing is unlimited as to number of books checked out.
- Loan Period is for three months.
- NOTE: Graduate students who have completed their coursework but not their research can continue to use the library with the above privileges upon payment of a campus use fee of $30.00, payable at the Controller's Office.
Wake Forest University Undergraduate Students
- The WFU picture ID functions as a library card.
- Borrowing is unlimited as to number of books checked out.
- Loan Period is for 28 days.
Wake Forest University Class Auditors
- The WFU picture ID functions as a library card (available to auditors).
- Borrowing is unlimited as to number of books checked out.
- Loan Period is for 28 days.
Salem College Students Registered for Courses at WFU
- Borrowing is unlimited as to number of books checked out.
- Loan Period is for 28 days.
- Salem students use non-college WFU library cards (available at Circulation).
Wake Forest University Staff
- The WFU picture ID functions as a library card.
- Borrowing is unlimited as to number of books checked out.
- Loan period is one year.
Spouses, Domestic Partners, and Children of WFU Faculty, Staff and Students
- Borrowing card issued at no charge upon verification and completion of application.
- Borrower is entitled to have up to ten books out at any given time.
- Loan period is one month.
- NOTE: This privilege also includes parents residing permanently with university patrons.
Members of the WFU Board of Trustees and the Board of Visitors
- Borrowing card issued at no charge upon completion of application
- Borrower is entitled to have an unlimited number of books out for a loan period of one month.
Retired Wake Forest University Faculty and Staff
- Borrower is entitled to have up to ten books out at any given time.
- Loan period is one month.
Wake Forest University Alumni
- Borrowing card issued at no charge upon verification of status and completion of application.
- Borrower is entitled to have up to ten books out at one time for a period of one month.
Wake Forest University School of Medicine
- Wake Forest School of Medicine faculty are entitled to have an unlimited number of books out for a loan period of 90 days. School of Medicine students are entitled to have an unlimited number of books checked out for a period of 30 days. School of Medicine staff are limited to 10 books with a loan period of 30 days. The library cards for Carpenter and Z. Smith Reynolds Libraries are not interchangeable. Patrons from the Hawthorne campus must fill out an application and have it verified. A non-college WFU library card is issued to these patrons.
Faculty at Other Triad Academic Institutions
- Charge for borrowing card of $50 a year.
- Entitles borrower to have up to ten books out at one time for a period of one month.
- NOTE: By reciprocal agreement this fee is waived for members of the faculty of Salem College and Academy.
Residents of the Community with Research Needs who are Unaffiliated with an Academic Institution
- Charge for borrowing card of $50 a year.
- Entitles borrower to have up to ten books at any given time.
- Loan period is one month.
- Videocassettes and DVDs cannot be checked out, but can be viewed in the library.
Corporations or Area Organizations
- Charge for borrowing cards of $50 each for up to 10 cards.
- Responsibility for use of cards rests with the organization and privileges are granted only with the signature of the director of the organization.
- Entitles borrowers to five books out at one time per card for a period of one month.
- Borrower must sign a printout of item record for each book taken and give name and a work telephone number.
Non-university patrons, with or without valid library cards, do not have access to the following services:
- Interlibrary Loan
- Off-campus database or e-journal use
- Use of Media
- Recall of materials checked out
- Reservation of group study rooms
