FAQ
Interlibrary Loan -- ZSR Delivers
Interlibrary Loan
What is ILL?
Interlibrary Loan (ILL) assists Wake Forest University faculty, students and staff in obtaining materials that are not available in the Z. Smith Reynolds Library or other libraries on campus.
Who is eligible to use ILL?
Interlibrary Loan (ILL) services are provided free of charge to WFU faculty, students, and staff on Reynolda campus. These services are not available to spouses or children of the above groups, or to alumni. ILL services are provided to visiting scholars and exchange students on a limited basis. Faculty and students in the School of Law, the Babcock Graduate School of Management or Bowman Gray School of Medicine must use interlibrary loan services available through their respective libraries.
What materials can I request?
- Books not owned by Wake Forest University (Books in the Babcock and Law School may be checked out directly from the Professional Center Library); due to copyright, most libraries won't photocopy book chapters.
- Books owned by WFU, but checked out, declared missing or lost
- Articles from journals and newspapers, not owned by WFU, requests may be filled in compliance with copyright laws
- Theses and dissertations, when available
- Government documents, conference proceedings and some foreign materials
- Materials on microform (i.e. newspapers, units from major microform collections)
- AV materials; however, less than 50% of AV materials requested through ILL are actually received. Libraries tend not to loan AV materials due to copyright issues. The ILL department will make the attempt in obtaining the item.
How do I request an ILL?
- Logon to ILL with your Wake Forest Username and Password. You will need to register if it is the first time.
- If you use FirstSearch, WorldCat or other databases, you can click on the "WFU Full Text Options/ILL"button and scroll down the screen to find "Submit an Interlibrary Loan request." You will be prompted to register first in the ILL system if you have not already.
- Once you register, close out. Go back to the citation and select WFU Full Text Options/ILL, then Submit an Interlibrary Loan again. Log in and it should fill in the citation information automatically. Enter other information if needed and submit.
- Make a note on the ILL request form if our copy of the book or journal is missing or has torn pages, author unkown, etc., to ensure prompt processing. Failure to do so will delay the processing of your request.
- Unless a request indicates a date after which the item is no longer needed, ILL will attempt to obtain the material until otherwise advised. Therefore, researchers should inform ILL staff of extended absences if requests are outstanding and/or cancel requests for material no longer needed.
- Requests will not be accepted over the phone.
What is WorldCat?
WorldCat is an online union catalog of over 49 million records representing books, journals, dissertations, audio-visual materials, and manuscripts in repositories worldwide.
How long does it take to get something through ILL?
The Interlibrary loan staff will make every attempt to process your request within 48 hours, but the turnaround time for the delivery of requested materials depends on several factors - the work load at the lending library, availability of the requested material, and the U.S. Postal Service. Articles are usually delivered electronically, normally within 3-7 days, but this is not guaranteed. Most books are shipped "library rate" 4th class mail. Therefore, your material may take two to four weeks to arrive.
How many requests can I make through ILL?
There is no limit on ILL requests, unless otherwise determined by Interlibrary Loan staff.
How much does each ILL cost?
We don't pass on any fees or costs to our users. The process of getting materials through ILL is a costly one however and users should not request unnecessary materials. A study done by Association of Research Libraries showed that the average cost per ILL request (materials, postage, on-line time, labor, etc.) can often cost in excess of $20.00 per request! We want to be able to keep providing this service for free, so select the materials you request carefully.
Where do I pick up and return my ILL items?
- Photocopies are supplied electronically. To view these articles, select the "Access Electronic Articles" button from your ILL account.
- Books and others can be picked up and returned at the Circulation desk.
Can ILL materials be delivered to me?
Yes, for faculty and staff on campus. University Faculty may choose to have interlibrary loan materials delivered to their departments' office by calling the Circulation department at (336) 758-4931.
What about Renewals, Overdues, Unfilled, and Recalls?
- Due date/Renewal: ILL loan periods are usually four to six weeks. Renewals are determined by the lending library. Normally, only one renewal is granted by the lending library. Requests for renewals should be made at least two days before the due date. You can send in renewal requests by logging onto your ILL account. We will notify you when we receive the new due date from the lending library.
- Overdues: Once the item is 5 days overdue, you will not be able to request a renewal. Contact the ILL office for more information.
- Recalls: Interlibrary loan materials are subject to recall by the lending library at any time.
- Unfilled: Not all ILL requests can be obtained due to the nature of the materials requested. If ILL is unsuccessful in filling a request, the staff will try to suggest alternatives for patrons to pursue in getting the needed items.
- If you fail to return ILL materials by the due date, or fail to return recalled ILL materials, your ILL borrowing and ZSR library borrowing privileges may be suspended.
Why am I blocked from using ILL?
If you have:
- ILL items more than 25 days overdue (three overdue notices).
- $20 or more in unpaid replacement ILL charges.
- ILL items that have been recalled and you did not return them as requested.
In addition to be blocked from using ILL services, you will also be blocked from checking out Wake Forest materials from Circulation.
Why am I on Administrative Hold?
Students may be put on Admin Hold after being blocked from using ILL. It will prevent them from registering and/or graduating.
What is KUDZU?
Kudzu is a partnership among thirteen Southeastern research libraries for ILL delivery.
How do I use Kudzu?
- Search the Kudzu catalog to see if your item is available in one of the 13 participating libraries.
- Go into the full record for an item by clicking on its title.
- Click on the button to request your title.
- As always, you will be notified when your materials are available.
If I am working for a professor, how should I register?
If you are working for a professor, requests for that professor should be submitted in the professor's name, not yours. The name on the account is ultimately the person responsible for borrowed material. This means if you are submitting the professor's requests, you will first need to register in his or her name. If the professor is already registered, you will need to know his/her username and password.
Who can I contact if I have problems or questions?
Interlibrary Loan office hours are 8:30 a.m. to 5:00 p.m., Monday through Friday, except for holidays. If you have questions about ILL services, please phone (336) 758-5006, e-mail at ill@wfu.edu or stop by the ILL office (Third floor in the Reynolds Wing, right above the Circulation desk in the Z. Smith Reynolds Library).
